Assign courses to specific individual users

Overview

Individual assignment is useful for:

  • New starters who need catch-up training
  • Someone changing roles who needs new skills
  • Special project-based training
  • Exceptions to group-based assignments

Tip

For most situations, group assignment is more efficient.

When to Use Individual Assignment

  • New employee needs specific onboarding courses
  • Someone promoted to manager needs leadership training
  • Contractor needs limited, specific training
  • Employee needs remedial training after an incident

❌ Better to Use Groups

  • All engineers need safety training → Use a group
  • Everyone in London needs fire training → Use a group
  • All new starters need induction → Use "Default for New Starters"

Step-by-Step: Assigning to an Individual

Open User Management

  1. Log in as an Admin
  2. Click Admin in the navigation menu
  3. Select User Management

Find the User

  1. Use the search box to find the user by name or email
  2. Or filter by department, role, or status
  3. Click on the user to open their profile

View the User's Profile

When you click on a user, a profile drawer opens showing:

  • User details
  • Current training assignments
  • Progress status
  • Completion history

Assign Training

  1. Look for the Assign Training section or button
  2. A course selection interface appears
  3. Browse or search for available courses
  4. Select the course(s) you want to assign
  5. Click Assign or Save

Confirmation

  • The course appears in the user's assigned training
  • The user sees it on their dashboard
  • Progress tracking begins

Viewing a User's Assignments

In the User Profile

You can see:

  • All courses assigned to this user
  • Source of assignment (individual, group, or mandatory)
  • Current progress/status for each
  • Completion dates and scores

Status Information

Managing Existing Assignments

Removing an Individual Assignment

If someone no longer needs a specific course:

  1. Open their user profile
  2. Find the assigned course
  3. Look for Remove Assignment option
  4. Confirm removal

Tip

This only removes individual assignments. If the course is assigned via a group, you'll need to either remove them from the group or change the group's course assignment.

Changing Due Dates

If available:

  1. Edit the assignment
  2. Set a new due date
  3. Save changes

What the User Sees

When you assign training to someone:

On Their Dashboard

  • The course appears in their "Assigned Training" section
  • Shows as required/mandatory if configured
  • Due date displayed if set

In the Catalog

  • The course is clearly marked as assigned
  • "Begin" button to start
  • Progress tracked automatically

Email Notification

  • User may receive an email about new training
  • Depends on notification settings
  • Includes link to start the course

Bulk Individual Assignment

To assign the same course to multiple individuals:

Option 1: Multiple Individual Assignments

  1. Assign to first user
  2. Repeat for each additional user
  3. Time-consuming but gives full control

Option 2: Create a Static Group

  1. Create a new static group
  2. Add the specific users to it
  3. Assign the course to the group

The static group approach is better for 5+ users.

Assignment Sources

When viewing a user's training, you'll see where assignments came from:

Tips

Check Before Assigning

Before assigning individually:

  • Check if the user is already in a group with this course
  • Check if the course is mandatory
  • Avoid duplicate assignments

Document Why

For audit purposes, keep notes on:

  • Why you assigned this specific training
  • Any special circumstances
  • Approval if required

Set Expectations

When assigning:

  • Let the user know training has been assigned
  • Explain why (if not obvious)
  • Set a reasonable completion deadline

Troubleshooting

Course doesn't appear in assignment list

  • Check the course is Active
  • Verify visibility rules allow this user
  • Ensure you have permission to assign it

User says they can't see the course

  • Check the course is assigned correctly
  • Verify visibility rules
  • Ask them to refresh their browser

Can't remove an assignment

  • Check if it's a group assignment (can't remove individually)
  • Check if the course is mandatory
