Exporting Reports

Generate and export training reports in various formats

Overview

The reporting system allows you to:

  • View training analytics and dashboards
  • Generate compliance reports for regulators
  • Export data in PDF, CSV, and Excel formats
  • Filter reports by various criteria

How It Works

The reporting system aggregates training data from across your LMS to provide insights into completion rates, compliance status, user engagement, and training effectiveness. Reports can be viewed on-screen or exported for external use.

Data Aggregation

Reports pull data from multiple sources:

  • Course Completion Records - Progress, scores, and completion dates
  • Session Attendance - Who attended which training sessions
  • User Information - Departments, roles, locations, hire dates
  • Assignment Data - What training is assigned and when
  • Deadline Information - Due dates, overdue status, completion timelines
  • Pathway Progress - Completion status across learning pathways

Report Generation Process

When you generate a report:

  1. Apply Filters - Select date ranges, departments, courses, or user criteria
  2. Data Query - System queries the database based on your filters
  3. Calculation - Computes metrics like completion rates, averages, percentages
  4. Formatting - Organizes data into readable tables and charts
  5. Export Options - Can be viewed on-screen or exported in various formats

Export Formats

Reports can be exported in different formats:

PDF Reports

  • Formatted documents
  • Good for presentations
  • Print-ready
  • Includes charts and formatting

Excel/CSV

  • Raw data format
  • Can be analyzed further
  • Pivot tables possible
  • Good for data manipulation

On-Screen View

  • Interactive dashboards
  • Filterable views
  • Real-time data
  • Charts and visualizations

Filtering and Customization

Reports can be filtered by:

  • Date Ranges - Specific time periods for training activity
  • Departments - Focus on specific teams or business units
  • Courses - Report on specific training programmes
  • Users - Individual or group-level reporting
  • Status - Completed, in progress, overdue, not started
  • Compliance Frameworks - Framework-specific reporting

Real-Time Data

Reports reflect current data:

  • Data is updated as training progresses
  • Completion status reflects latest attendance marks
  • New assignments appear immediately
  • No need to wait for scheduled updates

Tip

Export reports regularly for compliance documentation. PDF exports are ideal for audits, while Excel exports allow further analysis and custom formatting.

Understanding Report Data

Completion Status Values

StatusMeaning
CompletedUser has finished the course
PassedUser completed with passing score
In ProgressUser has started but not finished
Not StartedUser hasn't begun the course
ExpiredCertification has expired

Key Metrics

  • Completion Rate: Percentage of assigned users who completed the course
  • Average Score: Mean score across all completions
  • Time to Complete: Average time from start to finish
  • Overdue Count: Users who haven't completed by due date

Tips for Effective Reporting

Choose the Right Date Range

  • For trends: Use longer periods (quarterly, yearly)
  • For compliance snapshots: Use current date
  • For audits: Use the audit period

Use Consistent Filters

When comparing periods:

  • Keep department/location filters the same
  • Note any filter changes in your analysis

Export Regularly

For compliance:

  • Export monthly compliance snapshots
  • Keep historical records
  • Document for audits

Share Appropriately

  • PDF for executives and regulators
  • Excel for HR to analyse
  • CSV for data teams

Troubleshooting

Report takes long to generate

Large data exports may take time. For very large exports:

  • Narrow the date range
  • Apply more filters
  • Try off-peak hours

Export fails

  • Check your internet connection
  • Try a smaller data set first
  • Try a different format

Data seems incorrect

  • Verify your filter settings
  • Check the date range is correct
  • Ensure you're looking at the right metric
  • Contact support if issues persist

Missing users in report

  • Check department/location filters
  • Verify users have the correct profile data
  • Check if users are active (inactive users may be filtered)
