Session Attendance
Track and record attendance for training sessions
Overview
After a training session, you need to:
- Record who actually attended
- Mark absent users appropriately
- Trigger completion records for attendees
- Send post-session surveys (if configured)
Accessing Attendance Management

Open Calendar Management
- Log in as an Admin
- Go to Admin → Calendar Management
- Find the completed session

View Session Details
- Click on the session to open details
- You'll see the list of booked attendees
- Each attendee shows their current status
Attendee Status Values
| Status | Meaning |
|---|---|
| Booked | User has registered for the session |
| Attended | User was marked as present |
| Not Attended | User was marked as absent |
| Pending | Session completed, attendance not yet marked |
Marking Attendance
Individual Marking
For each attendee:
- Find them in the attendee list
- Click Mark Attended or Mark Not Attended
- The status updates immediately
Bulk Marking
To mark multiple attendees at once:
- Select attendees using checkboxes
- Click Mark Selected as Attended or Mark Selected as Absent
- All selected attendees are updated
Automatic Completion
When you mark someone as "Attended":
- Their progress is recorded in the system
- The session counts toward any learning paths
- Certificate/completion records are created
- Post-session surveys may be triggered
Adding Attendees
Adding Someone Who Didn't Book
If someone attended who wasn't originally booked:
- Click Add Attendee
- Search for the user
- Select them from the results
- They're added to the attendee list
- Mark them as attended
Adding Walk-Ins
For unexpected attendees:
- Add them as described above
- Mark as attended
- They receive credit for the session
Removing Attendees
Removing a Booking
If someone can't attend:
- Find them in the attendee list
- Click Remove or Cancel Booking
- They're removed from the session
- Capacity opens for someone else
Before vs After Session
Before the session
- Remove them cleanly
- They may receive a cancellation notice
After the session
- Mark as "Not Attended" rather than removing
- This keeps a record of non-attendance
Session Expiry and Attendance
If the session has an expiry configured:
When Attendance Expires
- Attendance is marked as "Expired"
- User needs to attend another session
- Expiry status shows in reports
Tracking Expiry
- View Expiry Status column for each attendee
- Values: Valid, Expiring Soon, Expired
Post-Session Surveys
If surveys are enabled:
Automatic Survey Triggers
After marking attendance:
- Attendees receive survey invitation
- Survey link sent via email
- Responses collected for analysis
Survey Timing
Surveys are typically sent:
- Immediately after marking attendance
- Or after a configured delay
Attendance Reports
Viewing Attendance Data
In reports:
- Filter by session to see who attended
- See attendance rates
- Identify no-shows
Exporting Attendance
- View the session details
- Click Export Attendees
- Download as CSV or Excel
- Records include status for each person
Best Practices
Mark Attendance Promptly
- Mark attendance on the same day
- Don't wait too long after the session
- Keeps records accurate
Use Consistent Process
Establish a process:
- Session ends
- Trainer confirms attendee list
- Admin marks attendance
- No-shows are followed up
Handle No-Shows
For users marked as "Not Attended":
- Consider follow-up
- Rebook them for future sessions
- Track patterns of non-attendance
Keep Records
Attendance records serve as:
- Training evidence for compliance
- Audit trail for regulators
- Data for reporting
Troubleshooting
Can't find a user to add
- Check they exist in User Management
- Verify their account is active
- Search by email if name search fails
Attendance not saving
- Check your internet connection
- Refresh the page and try again
- Contact support if issues persist
User says they attended but aren't marked
- Check you have the right session
- Verify the date
- Add them manually and mark attended
Session showing wrong attendee count
- Refresh the page
- Check for recent bookings
- Verify booking vs attendance numbers
