Getting Started with Document Store
Versioned PDFs, acknowledgements, and how Document Store differs from courses and Guides
Who this applies to
Admins who publish policies and other controlled PDFs. Managers can open Document Store to see completions. Learners only see documents assigned to them.
Required permissions
- Admin — create, publish, version, assign, retire
- Manager — view documents and completions
- Document Store is listed in the sidebar when Guides is enabled for the tenant
What it is for
Open Admin → Document Store. Each document is a PDF with a document number, a type (policy, procedure, guidance, form, or a type you add), and a version such as v1.0. Learners assigned via groups must open the file and tick the acknowledgement wording before it counts as complete.

Where things live
- Admin → Document Store — library, New document, manage each PDF
- Catalog → Documents — learner list of assigned PDFs
- Admin → Reports & Analytics → Document Control — page title Document reports: assigned, compliant, outstanding, ack due, review due
Document numbers
A number such as DOC-… is created when you publish. You do not type it in the New document wizard.
