How to book instructor-led training sessions

Overview

Sessions are instructor-led training that you attend:

  • In-person classroom sessions
  • Virtual/online sessions (e.g., via Teams)
  • Workshops and practical training
  • Webinars

Finding Available Sessions

Go to the Calendar

  1. Click Calendar in the main navigation
  2. The calendar page opens
  3. You'll see available sessions

Browse Sessions

Sessions are displayed with:

  • Session title
  • Date and time
  • Location (or "Online")
  • Trainer name
  • Available spots

Filter Sessions (If Needed)

Use filters to find what you need:

  • Search - Find by name
  • Type - Online or In-Person
  • Trainer - Specific trainer
  • Location - Specific location

Session Types

Physical location shown - you'll attend in person

Availability

  • Available - Spots open, you can book
  • Limited - Few spots left
  • Full - No spots available

Booking a Session

Find the Session

Browse or search for the session you want.

Check Details

Click on the session to see full details:

  • Exact time and duration
  • Full description
  • Pre-read materials (if any)
  • Location details

Click Book

  1. Click Book, Sign Up, or Register
  2. Confirm your booking if prompted
  3. You'll see a success message

Confirmation

After booking:

  • Session appears in "My Bookings" or dashboard
  • You may receive a confirmation email
  • Calendar invite may be sent

Booking Sessions in Learning Paths

Some sessions are part of learning paths.

When Sessions Are Required

  1. Start the learning path
  2. Complete preceding courses (if sequential)
  3. When you reach a session requirement:
  • A calendar view appears
  • Select an available date/time
  • Confirm your booking

Choosing a Session

If multiple sessions are available:

  1. View the calendar with available dates
  2. Click on a date to see times
  3. Select the session that works for you
  4. Confirm booking

Managing Your Bookings

Viewing Your Bookings

Find your booked sessions in:

  • Your dashboard (Upcoming Sessions)
  • The Calendar page
  • Your profile/history

Adding to Your Calendar

  1. Find the session in your bookings
  2. Look for "Add to Calendar" option
  3. Download the calendar file (.ics)
  4. Open to add to Outlook/Google Calendar

Cancelling a Booking

If You Can't Attend

  1. Find the session in your bookings
  2. Click Cancel or Remove Booking
  3. Confirm the cancellation
  4. The spot opens for someone else

Tip

Some sessions may have cancellation deadlines. Check the session details.

Rebooking

After cancelling, you can book a different session:

  1. Go back to the Calendar
  2. Find an alternative session
  3. Book as normal

Attending Sessions

Before In-Person Sessions

  • Note the location
  • Plan your travel
  • Arrive on time
  • Bring required materials

Before Online Sessions

  • Test your equipment
  • Have a stable internet connection
  • Find a quiet space
  • Join a few minutes early

Joining Online Sessions

  1. Find the session in your bookings
  2. Look for Join or the meeting link
  3. Click to open the meeting
  4. Join via Teams/Zoom as prompted

During the Session

  • Participate actively
  • Take notes
  • Ask questions
  • Complete any activities

After the Session

  • Your attendance is marked
  • Session appears in your history
  • You may receive a survey
  • Certificate may be available

Troubleshooting

Can't find any sessions

  • Check filters aren't hiding sessions
  • Sessions may not be available for your role
  • Ask your admin about scheduled sessions

Session is full

  • Try a different date/time
  • Ask about waitlists
  • Request additional sessions from admin

Can't cancel booking

  • May be past cancellation deadline
  • Contact your admin for help
  • Attend if cancellation isn't possible

Meeting link doesn't work

  • Try copying/pasting the link
  • Check your calendar invite
  • Contact the trainer or admin

Tips for Sessions

Be Prepared

  • Complete any pre-reading
  • Review the session description
  • Prepare questions

Be Punctual

  • Join on time
  • For in-person, arrive early
  • For online, join 5 minutes early

Participate

  • Engage with content
  • Ask questions
  • Share experiences

Follow Up

  • Complete any post-session work
  • Apply what you learned
  • Provide survey feedback
