Overview

What Performance Management is for, how it works, and what journeys it supports

What it is for

Performance Management creates a consistent Performance Review process across your organisation. Instead of scattered notes or ad-hoc spreadsheets, TrainMeUK provides:

  • Learner pre-meeting input before the manager conversation
  • Structured manager outcomes, ratings, and objective alignment
  • Scheduled cadence (monthly, quarterly, or annual) with optional department overrides
  • Operational visibility — upcoming, overdue, completion rate, and sentiment trends
  • Audit-ready evidence of assignment, submission, and completion events

Module access

Performance Management is an optional module. When enabled, learners see a Performance tab on Profile; managers use Team Management; administrators use Admin → Employee Performance.

Review lifecycle and statuses

Each Performance Review moves through clear statuses shown on admin queues, Team Management, and Profile:

Tip

Dashboard tasks highlight actionable items: learners see pre-meeting CTAs; managers see submissions waiting for a review call.

End-to-end flow (typical cadence review)

  1. Admin sets default frequency, anchor date, and due-date policy, then runs Create initial Performance Review cycle (seed).
  2. System creates scheduled reviews for in-scope learners who have a line manager and no conflicting open review.
  3. Learner completes pre-meeting input from Profile → Performance or the dashboard task.
  4. Manager opens the review from Team Management, holds the conversation, records outcomes, and locks the review.
  5. Admin monitors completion rate, overdue queue, and trend reports; exports CSV for governance if needed.

Optional automation can seed new starters or manager assignments after the initial tenant seed — configured in Employee Performance settings.

Line managers and reporting lines

Performance Reviews attach to each learner's line manager (manager relationship on the user record). The admin dashboard tracks learners with no line manager — they are skipped during seeding until a manager is assigned.

Managers only act on their direct reports via Team Management. Admins see organisation-wide analytics, filters by department, location, and line manager, and can open embedded review oversight from the individual report tab.

Reopening a locked review

Managers (and admins with access) can reopen a locked review when corrections are needed. The UI prompts for a reopen reason; the status moves to reopened until the review is locked again. Reopen events belong in your audit trail alongside completion events.

Warning

Reopening should be exceptional — use it for factual corrections or agreed follow-ups, not routine editing of historical records.

FAQ

Is Performance Management the same as training assignments?

No. Training assignments track course completion. Performance Reviews track structured conversations, pre-meeting reflections, manager outcomes, and objectives — with their own statuses and audit events.

Can a learner have two open reviews?

The system prevents duplicate open reviews for the same learner. Managers see a warning if they try to schedule a second open review.

What happens if pre-meeting is not submitted before the meeting?

The manager can complete pre-meeting input during the call and submit on the learner's behalf. Audit logs distinguish self-completed vs on-behalf completion.

Where do I configure review form questions?

Admins manage templates under Employee Performance → Performance Review settings → Templates. Published template versions drive the fields managers and learners see.
