Gate & muster

The real problem isn't site access.
It's knowing who's actually there.

Clipboards, sign-in books, and spreadsheets can't tell you who's qualified, who's on site, or who's accounted for — and they definitely can't prove it when the auditor asks.

You don't know who's actually on site right now

Sign-in sheets are wrong by lunchtime. Tablets get forgotten. When the fire alarm goes off, no one can tell you who's accounted for.

Contractor training is a black hole

You sent the induction. Did they complete it? Was it the right one? Can you prove it to the inspector?

CSCS cards and certificates expire silently

Someone walks on site with an expired ticket. You find out during the audit.

Risk assessments live in someone's email

When you need them for a job, they take three days to track down. When the HSE asks, you scramble.

Site Management replaces all of this with one connected system. Every scan, every assignment, every muster, every approval — captured automatically, available instantly, ready for any audit.

Operational control for every site

Site Management connects physical locations with your compliance programme — from induction and contractor onboarding to risk assessments and who is present during an incident.

Built for frontline reality

Worker badge at every gate

Each person — staff or contractor — carries a QR on their phone or printed pass. Scan at entry to verify training, certificates, and risk assessment status before they set foot on site. Approve, deny, or allow with conditions in seconds.

Live count of who's on site, right now

Open the dashboard and see exactly who's checked in, where, and when they arrived. No more wandering the site asking "who's working at the north end today?"

Evacuation roll call in 90 seconds

When the alarm goes, start a drill or live evacuation with one tap. Workers scan at the muster point. The dashboard shows on-site vs mustered counts as people arrive. Account for everyone faster than your paper register ever could.

Site checkout that actually works

Workers scan out when they leave so your presence list reflects reality, not just who turned up that morning. End-of-day counts match physical reality.

Risk assessments that don't get lost

Build templates from UK HSE blueprints — fire, COSHH, manual handling, stress. Assign to teams or ad-hoc to individuals. Route approvals to the right person. Tie approved assessments to gate access so workers can't go on site until their RA is signed off.

Contractor onboarding in under 5 minutes

Print a QR code for your site. Contractor scans, registers their name and email, completes their training and uploads their CSCS card. By the time they finish their coffee, they're approved for site access — and you have a full audit trail.

How Site Management works

From configuring London vs Manchester rules to onboarding contractors, running risk assessments, scanning a worker at the gate, and running a drill evacuation — one connected flow inside TrainMeUK.

1

Configure sites & rules

Add locations, set all-sites and per-site compliance requirements (courses, certificates, risk templates), muster points, and who can scan.

2

Risk & contractor packages

Publish risk assessment templates with optional approvals, and build contractor onboarding packages that pull defaults from site compliance rules.

3

Scan at entry

Open the compliance scanner for a passport lookup: see global vs site requirements, decisions, and allow or deny with a full audit trail.

4

Onboard contractors

Share a public enrolment link or QR — contractors register as temp-staff and receive assigned courses, certificates, and draft risk assessments.

5

Start an evacuation

Label the event as drill, live, or test. Starting captures everyone on site into the roll call; muster scans tie to that event.

6

Muster, end, report

Run muster with QR check-in, then end the evacuation to record duration and timing for compliance reporting.

Frequently asked questions

What if the site network is down during an evacuation?

The muster scanner runs in any mobile browser — if site WiFi drops, switch to mobile data. If a worker's device is dead or missing, a site administrator can sign them in manually. Your roll call works in the messy real world, not just on paper.

How fast can we onboard a new contractor?

Print a QR code, hand it over (or send a link). Contractor scans, enters their name and email, completes assigned training, uploads required certificates. Most contractors are site-ready in under 10 minutes — without ever speaking to your admin team.

What happens when someone's CSCS card expires?

Site Management blocks them at the gate. The compliance scanner checks training, certificates, and risk assessments before approving entry. Expired cards mean denied access, captured automatically, with a clear audit trail.

Can we run this across multiple sites with different rules?

Yes. Set tenant-wide compliance requirements that apply everywhere, plus site-specific requirements for individual locations. A worker approved for your London site might be denied at Manchester if Manchester requires additional training — all configurable per site.

Does it replace our existing fire register or visitor system?

It can replace both, or run alongside them. Many customers use Site Management as their primary digital register because the data is integrated with training records. Your H&S lead should align the implementation with your specific emergency procedures.

How long does it take to roll out?

20-minute scoping call, then typically 48 hours to configure your tenant. Pilot one site first, expand from there. Most customers are running live within 2–3 weeks.

Can we try it before committing?

Start a free trial of TrainMeUK. Once you're up and running, we'll enable Site Management for one or two sites so you can prove value before rolling out further. No long contract, no equipment to buy.
