Presence, Muster & Evacuations

On-site register, muster points, checkout QR, and evacuation roll-call operations

Where to find these tools

Open Site Management from Admin or the standalone Site Management nav (if you are a site administrator or compliance scanner). Select a site from the dashboard — presence, muster, checkout, and evacuation tools are scoped to that site.

KPI tiles at the top include On-site now, Active evacuations, and Muster points for quick situational awareness.

On-site register

The On-site now KPI counts open presence records — workers who are signed in and have not checked out. Presence is typically created when:

  • A compliance scan logs entry with open presence on a GREEN or approved AMBER result
  • Other site sign-in flows your organisation uses (where configured)

Presence closes when the worker scans the checkout QR at site exit, or automatically after the tenant presence auto logout period (hours) configured in Site settings.

Tenant-wide vs per-site

With no site selected, KPIs may show tenant-wide totals. For operational roll call during an evacuation, always select the affected site first.

Checkout QR (sign-off when leaving site)

Each site has a checkout QR token. Workers scan it to sign out when leaving — closing their open presence record. The public URL format is /site-checkout/scan?token=….

Open checkout QR

With a site selected on the Site Management dashboard, open the checkout / sign-off QR modal from the site actions area (alongside muster tools).

Print or display

Use Print poster to generate a printable sign-off poster with site name, instructions, and QR code. Display at exits or reception.

Regenerate if needed

Administrators can regenerate the checkout token if a poster is lost or compromised. After regeneration, reprint posters — old checkout QRs stop working (toast: "Sign-off QR updated — reprint posters if needed.").

Tip

Encourage workers to checkout when leaving so On-site now stays accurate for evacuations and reporting.

Muster points

Muster points are physical assembly locations. Each has its own check-in QR so you know which assembly area a worker reached during an evacuation or drill.

Create muster points

Open the muster points modal. Add points with clear labels (e.g. "Assembly point A — car park north"). You can maintain several active points per site.

Print muster poster

Select a muster point, preview the poster on the right, and click Print poster. The print layout includes site name, muster point name, and a large QR encoding /muster/scan?token=….

Worker check-in

Workers scan the muster QR with their phone. They see a confirmation message — customise the text in Site settings → Presence, muster & check-in message.

Tip

Muster pre-link lookback (hours) links recent site presence to muster check-in automatically when configured in the same settings section — useful when workers forget to scan at the gate but were already signed in on site.

Evacuations

Evacuations provide a live roll call: who was on site, who has mustered, and who is not yet accounted for. Muster check-ins update the roll call in real time.

Start evacuation

From the site dashboard, start an evacuation and choose the kind. Active evacuations appear in the KPI tile and site banner with on-site and mustered counts.

Monitor roll call

Review panels for Accounted at muster, On site, not yet mustered, and related lists. Sort and export timing data as needed during the incident.

End evacuation

End the session when complete. Full duration and muster timing are saved for reporting. Export roll-call CSV from the evacuation panel for post-incident review.

Warning

For Live evacuations, confirm everyone is safe and accounted for before ending the session. Ending saves final timing — open evacuations cannot be resumed after closure.

Export and reporting

During or after an evacuation you can export CSV data including:

  • Roll-call summary counts (on site, mustered, not accounted)
  • Per-person muster point and timestamps
  • Seconds-to-muster timing for drill analysis
  • Guest muster records where applicable

Tip

Run a Drill evacuation quarterly to validate posters, QR readability, and staff familiarity with the dashboard panels.

FAQ

Someone mustered but still shows on site, not mustered.

Check muster pre-link lookback settings and whether they scanned the correct muster point QR for this evacuation. Refresh the evacuation panel — muster scans update roll call within seconds.

Do contractors appear on the on-site register?

Yes — temp-staff who pass compliance scan with presence opened appear alongside employees in site presence and evacuation roll call.

We regenerated checkout QR — old posters still up.

Replace exit posters immediately. Scans against the old token will fail until workers use the new QR.
