Public contractor onboarding, completing risk assessments, and compliance passport QR
Who this guide is for
This page covers two audiences: contractors (temp-staff who register via an onboarding link) and employees who use Site Management features such as risk assessments and the compliance passport QR. Administrators configure packages and scanners separately — see Contractor Management and Compliance Scanner.
Contractor public onboarding
Your administrator shares a QR code or URL (format /contractor/onboard?t=…). Follow these steps:
Open the link
Scan the QR on a phone or tablet, or tap the link from email or SMS. If the link is disabled, expired, or has reached its use limit, you will see an error before the registration form — contact your site administrator for a fresh link.
Register
Enter your display name, email, and password. Use an email you can access — it is your login for returning to TrainMeUK.
Automatic sign-in
After successful registration you are signed in immediately. No separate verification email is required to start your assigned work.
Complete your package
Your dashboard shows assigned e-learning, external certificate upload tasks, and any draft risk assessments created from the onboarding package. Work through these before arriving on site if possible — gate scans check compliance against site rules.

What contractors see (temp-staff experience)
Contractor accounts are focused on getting you compliant for site access — not on browsing the full training catalog or admin tools.

Returning contractors
If you already have an account, sign in normally at your organisation's TrainMeUK URL. Do not register again via the onboarding link unless your administrator asks you to — duplicate accounts cause confusion at the gate.
Compliance passport QR
When your organisation has Site Management enabled, your Training Dashboard shows a QR code button in the header (next to the page title). Tap it to open your compliance passport QR in a modal.
Open Training Dashboard
From the main navigation, go to Dashboard. On mobile, open the same Training Dashboard from the home screen after sign-in.
Tap QR code
Click QR code in the dashboard header. The modal loads a QR that encodes your worker passport token. Present this full-screen to gate staff or site security.
Understand scan outcomes
Scanners evaluate your training, certificates, and risk assessments against global and site-specific rules. You may see GREEN (compliant), AMBER (partial — entry may be allowed with conditions), or Entry Denied (RED). See Compliance Scanner for what each outcome means and how to fix gaps.
Tip
At the site gate (what happens when you are scanned)
Gate staff or site administrators use the Compliance scan page to read your passport QR. They select the site you are entering, scan your code, and review the result before logging your visit.

Employees: risk assessments
Permanent employees (non-contractors) follow the same passport QR flow when Site Management is enabled. Risk assessments are available from the main navigation unless your organisation hides the menu item.
Open Risk assessments
Go to Risk assessments (/risk-assessments) from the main nav.
Start or continue
Pick a template under Available templates or resume a draft under My assessments.
Submit
Submit when complete. Depending on template settings you may see immediate approval or a pending review message while an administrator approves your submission.

Muster and evacuation (on site)
During evacuations or drills, scan the muster-point QR posted at assembly areas (/muster/scan?token=…). You should see a confirmation message configured by your organisation. When leaving site, scan the checkout QR if one is displayed at the exit.

FAQ
I do not see a QR code button on Profile.
Your tenant may not have the worker compliance passport feature enabled, or Site Management is not active for your organisation. Ask your administrator.
My QR shows Entry Denied — what should I do?
Open your training dashboard and complete any overdue mandatory courses, upload expired external certificates, and finish pending risk assessments. Ask gate staff which specific gap blocked entry, or complete items listed on the scan result if shown to you.
Can I screenshot my QR and send it to someone else?
Your passport QR identifies you personally. Do not share it — gate staff must scan the worker who is physically present. Each scan is logged for audit.
I registered via the wrong onboarding package.
Contact your site administrator. They can apply the correct package to your account from Contractor management without you re-registering.
