General Settings

Gamification points, default timezone, and organisation settings on the General tab

Overview

The General tab in Admin → System Settings is where you configure gamification points, your organisation's default timezone, and several related organisation tools on the same page.

On this tab you will find:

  • Gamification Settings — points awarded for course completion and session attendance
  • Trainer Management — designate users as trainers for calendar sessions
  • Course Categories — organise your training catalog
  • Departments — group users for reporting, visibility, and dynamic groups
  • Default Timezone — set the organisation-wide timezone default

Who can access this tab?

Most System Settings tabs require the canManageSystemSettings permission. Users without this permission will not see the General tab or other configuration tabs. Billing is handled separately under the Billing tab for users with canManageBilling.

Gamification Settings

Gamification points appear on learner dashboards and leaderboards. Adjust them to match how your organisation rewards completion behaviour.

Open Gamification Settings

  1. Log in as an admin with system settings access
  2. Go to Admin → System Settings
  3. Select the General tab (cog icon)
  4. Find the Gamification Settings card at the top of the page

Adjust point values

Enter whole numbers for each field. Use a negative value for Penalty for Late Completion (for example, -25).

Save Settings

Click Save Settings at the bottom of the Gamification Settings card. You should see a success confirmation when the values are saved.

Tip

Start with the defaults and adjust after a pilot group completes a few courses. Large swings in point values can make leaderboards feel unfair if learners completed training under the old rules.

Default Timezone

The Default Timezone card sets your organisation's default for scheduling, reminders, and date displays. Individual users can override this in their profile if needed.

Choose Organisation Default Timezone

Scroll to Default Timezone on the General tab. Use the Organisation Default Timezone selector to pick the timezone that best represents where most of your learners work.

Confirm the change

When you change the timezone, the setting saves automatically. A note on the page confirms that this timezone applies to users who have not set a personal timezone preference.

Tip

For organisations spanning multiple regions, pick the timezone used for compliance deadlines and session start times. Users in other regions can set their own preference in profile settings.

Departments, course categories, and trainers all live on the General tab — there is no separate Trainers tab. Use the dedicated guides below for step-by-step instructions.

  • Departments — add and edit department names in the Departments card. See Adding Departments.
  • Course Categories — create categories with name, description, icon, and colour in the Course Categories card. See Course Categories.
  • Trainers — use Trainer Management on this tab to add trainers, edit profiles, and remove trainer designation. See Adding Trainers.

Troubleshooting

I cannot see System Settings

Confirm your account has the canManageSystemSettings permission. Contact your organisation admin if you need access.

Gamification points did not update

Make sure you clicked Save Settings in the Gamification Settings card. Points already awarded before a change are not recalculated retroactively.

Session times look wrong

Check the organisation default timezone here, then verify individual users have the correct personal timezone in their profile if they work in a different region.
