Per-Site Compliance Rules

Add site-specific compliance requirements and understand scoped risk assessment rules

What per-site requirements do

Per-site requirements apply only when scanning at that specific site. They are combined with all-sites requirements — the worker must satisfy both sets for a compliant (GREEN) scan result.

Use per-site rules when a location has extra obligations: a warehouse-specific manual handling course, a building fire risk assessment, or a site induction that does not apply organisation-wide. Global standards (CSCS card, company induction) belong in All-sites requirements.

Who can configure per-site rules

Both tenant administrators and site administrators can add and remove per-site requirements. Site administrators only see sites they are assigned to manage; tenant admins see all sites.

Site administrators opening Site settings

Non–tenant-admins who open Site settings land directly on Per-site requirements (not the Sites or All-sites sections). They can also manage Scanners & administrators for their sites but cannot assign other site administrators.

Add a per-site requirement

1

Open Per-site requirements

Site Management → Site settings → left nav Per-site requirements.

2

Select the site

Choose the Site from the dropdown (Select a site…). The requirement you add applies only to compliance scans run at that location. You can also select a site from the dashboard picker first, then open Site settings — the dropdown pre-selects that site.

3

Add the rule

Choose Type (Course, External certificate, or Risk / questionnaire), pick the linked item, and click Add requirement. A success toast confirms the addition.

4

Manage the list

Requirements appear with a formatted label showing type and linked item. Click Remove to delete a rule. The dashboard Per-site rules KPI tile counts configured rows for the selected site.

Tip

The Site overview card on the dashboard also lists per-site requirements when a single site is selected — useful for a quick read-only check before opening Site settings.

Requirement types (same as global)

TypeWhat to selectSatisfied when (per-site scope)
CourseActive catalog courseWorker completed the course
External certificateExternal Certificate category courseApproved, non-expired submission on file
Risk / questionnairePublished templateApproved submission AND submission site matches scanned site

Risk assessments: global vs per-site

ScopeRisk requirement satisfied when
All-sites (global)Approved submission for the template at any site
Per-siteApproved submission for the template AND submission site matches the scanned site

Warning

For per-site risk rules, the worker must complete the assessment for that site — select the correct site when starting, or rely on the template's Default site (configured in template Configure). An approval tied to a different site will not satisfy a per-site rule.

Set the template Default site under Assigning & Scheduling so contractor auto-created drafts and new submissions pre-fill the correct location.

How scans evaluate both layers

When a compliance scanner selects a site and scans a worker passport, the system checks:

  1. Every all-sites requirement (tenant-wide)
  2. Every per-site requirement for the selected site
  3. Any mandatory assigned courses not covered by explicit rules

Entry Denied results group missing items as Must complete (global courses listed), Must complete (site specific courses), or Must complete (Mandatory assigned courses). See Compliance Scanner for result interpretation.

Common scenarios

ScenarioRecommended approach
Fire safety training required everywhereAll-sites → Course
Site-specific induction for Warehouse A onlyPer-site → Course on Warehouse A
CSCS card required on all sitesAll-sites → External certificate
Site fire risk assessment for Building B onlyPer-site → Risk template on Building B
General stress questionnaire org-wideAll-sites → Risk template
COSHH assessment for lab site onlyPer-site → Risk template with Default site = lab
Contractor site access with local rulesPer-site rules + contractor package — see Contractor Management
